Job Purpose:
Provide assistance to the factory general manager and local management, support for the factory office administration work, management team activities organization and follow up GM assigned clerical work.
Key areas of accountability:
1. Secretary work
• Organize and coordinate various meetings for Management (Weekly TOP5/ KPI/ monthly KPI, etc.) take the meeting minutes and track the deadline of the tasks
• Coordinate Management for working and visitor schedule, responsible for visitor reception and accommodation
• Help GM for documents record and filing
• Responsible for DGN plant suppliers AVL consolidation and regular review with GM which is also need map with SZ supplier AVL
• Make and update various reports per GM's request
• Check and hand over daily documents for GM's approval including documents pre-review and GM, files pre-review for stamping before GM approval
• Track/record important e-mails GM assigned, follow up the execution
• Follow up the important task execution from GMT
• Stationary for GMO department management
• GMO department budget tracking and activity organization
2. Administrative work
• Leading global administrative related items alignment and localization, including office style/ posters/ template, etc.
• Communication organization, e.g. GMT message bilingual deployment, townhall meeting organization, GM box management
• HR project assistant including Capex approval follow-up from GMT, execution support
• Monitor and promote staff harmonize and lead relevant activities to improve harmony environment, etc. MT dinner
• Provide assistance to foreign employees for office administrative support and special cases management in good manner: transportation arrangement/hotel booking/meeting room booking etc.
• Other data analysis reporting as per HR task assignment
3. Other tasks assigned by GM.
Job scope:
Work under moderate supervising and most tasks can be finished independently with relevant knowledge. Work can be done by following the set processes. Interaction with both internal and external parties, have direct impact to administration service quality.
Qualification:
• Bachelor’s degree graduate
• Minimum 5 years’ experience in Administration or secretary
• Good communication skills in both English and Mandarin
• Good interpersonal skills
• Good team player, proactive, positive and passionate
• Conscientious and has good time management
• Logical thinking and creative thinking
• Strong customer service sense
• Has proven competencies on handling multiple tasks
• Patient, detailed and good following up
